Webinar Scheduling & Setup:

  • Help coordinate with speakers and organizers to confirm webinar details (date, time, platform).
  • Share registration links with relevant stakeholders and update the Trufi’s communication channels.

Pre-Webinar Preparation:

  • Ensure all materials (slides, videos, polls, etc.) are ready and accessible for the event.
  • Support a brief orientation to speakers about the platform tools (screen share, mute, etc.).
  • Support preparation of marketing materials to promote the webinar (social media images, cover image, etc.

Promotion & Outreach:

  • Assist with sending out reminder emails to registrants (including a day-before and one-hour-before reminder).
  • Coordinate with the communications team to promote the webinar via social media and newsletters.

During the Webinar:

Monitor participant engagement, manage attendee questions, and facilitate Q&A sessions.

Post-Webinar Follow-up:

  • Send thank-you emails to speakers and attendees, including a feedback survey if applicable.
  • Gather key performance metrics (e.g., attendee numbers, engagement rates) and prepare a short report.

Skills Required

  • Event coordination and organization: managing logistics, scheduling, and speaker coordination.
  • Technical proficiency with webinar platforms: screen sharing, polls, and attendee management.
  • Marketing and communication skills: preparing promotional materials and managing outreach through social media and email.
  • Attention to detail: ensuring materials are ready, reminders are sent, and the event runs smoothly.
  • Analytical and reporting skills: collecting and reporting on key webinar performance metrics.
